Handing slate roof records to a new facilities manager

Institutional knowledge about a roof can disappear when staff change unless the essential information is easy to find and understand.

Prepare a usable overview

Create a roof-zone sketch with material selections, dates of major work, recurring observations, and the location of spare stock. Link each zone to the relevant assessment and repair photographs. Identify current service contacts without implying that an old contractor or product is still available. Note which items remain open and what follow-up was recommended.

Walk through the record

Review the file with the incoming manager and explain naming conventions and access arrangements. Separate historic documents from the current maintenance plan so an outdated recommendation is not mistaken for an active instruction. Keep a shared copy under the institution's control. The handover succeeds when a new manager can arrange the next inspection without relying on someone else's personal inbox.
