Preparing for a historic roof design review meeting

A clear submission helps reviewers understand both the existing roof and the reason for the proposed intervention.

Show existing and proposed conditions

Assemble dated photographs, a roof plan, the condition assessment, and representative material samples. Explain which details will be retained, repaired, or changed. If proposing a different material or arrangement, make the difference visible rather than describing it only as equivalent. Ask the relevant review body what documentation and approvals apply to the property.

Keep decisions connected to the work

Record the approved scope and any conditions, then share them with the designer, supplier, and contractor. Do not assume a sample approval covers every later substitution. Where the review leaves a question open, resolve it before ordering or removing significant material. Keep the final approval documents with the project record so field decisions can be checked against the same requirements.
