Add a project reference
Include the project name, address, and relevant phase or roof zone on the order documents. Keep supplier product identification separate from your internal project label. This helps when one contractor has several slate jobs underway or when multiple selections arrive at the same storage location.

Maintain the link through delivery
Carry the same reference onto delivery records, pallet maps, and spare-stock labels. If material is transferred to another project, record that movement instead of silently changing the allocation. A consistent reference makes it easier to investigate shortages and locate matching repair stock later. It also reduces the chance that two visually similar but separately specified selections become mixed before installation.
