Use a shared reference set
Label the representative samples and keep their product information together. Ask reviewers to examine the same range under comparable conditions. If multiple sample sets are needed, have the supplier confirm that they represent the same selection rather than assuming any two pieces tell the same story.

Record the decision and its scope
Note who approved the selection, what qualities were accepted, and which technical questions remain with the design team. Appearance approval should not be mistaken for confirmation of structural or installation suitability. Keep the accepted sample set available through procurement. A shared reference reduces the risk that a later decision is based on a single piece nobody else has seen.
